EXECUTIVE ASSISTANT

Hamlin Robinson School, located in the North Beacon Hill neighborhood of Seattle, Washington, is an independent, non-profit, accredited, state-approved, elementary and middle day school offering a comprehensive educational program to serve students with dyslexia and other language related difficulties. Position: Executive Assistant

Department: Administration

Reports to: Head of School

Job Classification: Full time, 12 month exempt position

POSITION SUMMARY:

The Executive Assistant reports directly to and provides executive-level support to the Head of School. The Executive Assistant serves as a liaison to internal and external stakeholders, including the Administrative team, Board of Directors, faculty, and the community. The Executive Assistant should be able to work independently and capable of high-level decision-making, attention to detail, professionalism, and confidentiality. The ideal candidate will enjoy working in an environment that is mission-driven, results-driven, and community-oriented.

RESPONSIBILITIES:

Support the Head of School:

  • Support the goals and work plan of the Head of School
  • Review and prioritize the Head of School’s correspondence and when requested, prepare responses
  • Maintain Head of School’s Outlook calendar, schedule and coordinate meetings and events, as well as travel schedule and itineraries.
  • Coordinate logistics for various Committee, Management, and Admin meetings, including agenda preparation.
  • Assume responsibility for special research and other projects for the Head of School
  • Maintain the personal/confidential files for the staff and faculty in the Head of School’s office.
  • Perform other duties as assigned by the Head of School
  • Maintain confidentiality in student, school, family, and employee matters.

Board of Trustees

  • Provide administrative support to the Head of School and Board of Trustees, including organization, preparation, and distribution of meeting materials
  • Manage attendance and correspondence for Board meetings and other Board events
  • Attend Board meetings, take minutes, and distribute to the Board

QUALIFICATIONS:

  • Proficiency in the use of Microsoft Office word processing, database management, spreadsheet, graphics and presentation software
  • Excellent written and oral presentation skills
  • Strong organizational and time management skills with exceptional attention to detail and problem solving skills
  • Outstanding customer-service skills
  • Ability to work independently and as a member of a team
  • Ability to prioritize, organize and manage multiple projects efficiently
  • Commitment to the Mission and Philosophy of the School
