The Bush School is in search of an individual to join our dynamic and high-volume Business Office team as the Accounting and Business Office Assistant. We are seeking a candidate who will support the school’s mission of diversity and inclusion and who has a background that displays and demonstrates an understanding of cultural fluency.

This position reports to the Assistant Head for Finance and Operations and is a 12-month Calendar Year position. As a member of the Business Office, the Accounting and Business Office Assistant is responsible for supporting the Business Office as a whole and the accounting functions of the school. More specifically, the Accounting and Business Office Assistant also provides direct administrative support to the Assistant Head for Finance and Operations and serves as the primary point of contact for the Business Office.

While other duties may be assigned, a qualified candidate will be able to manage the key responsibilities and tasks listed below:

  • Assist the Business Office with reconciliations and monthly accounting closing processes, as well as posting lunch charges, credit cards, financial aid on lunches, deferred tuition, prepaid matters, and other reoccurring allocations
  • Provide support during scheduled audits
  • Deliver monthly budget reports and audit records to Division Directors and Department Chairs
  • Reconcile gifts and pledges with the school’s Development Office
  • Maintain confidential and sensitive records
  • Provide administrative support services to the Assistant Head for Finance and Operations, e.g. answering calls, managing calendars, overseeing meeting logistics
  • Prepare and/or proofread correspondence and a wide variety of documents and presentations while utilizing tools such as Word, PowerPoint, Excel, Google Docs
  • Organize and maintain filing system within Business Office
  • Provide receptionist services for the Business Office and guests
  • Order supplies for the Business Office
  • Complete special projects assigned by the Assistant Head for Finance and Operations, Payroll Manager and Controller
  • Apply a detail oriented focus to the responsibilities of this position
  • Utilize effective interpersonal skills that develop positive sustainable relationships
  • Thrive in a flexible, yet high-volume work environment

Successful candidates will have the following:

  • Bachelor’s degree preferred or equivalent years of experience
  • College level coursework in related field preferred
  • Experience in the accounting field with 2 years preferred
  • Experience working within a school environment is preferred
  • Strong work ethic, organized and punctual
  • Experience applying an attention to detail approach to duties/responsibilities
  • Able to multitask and successfully manage multiple deadlines
  • Fluency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Docs
  • Proficiency with using accounting systems
  • Willing and flexible when assuming additional responsibilities, as required
