Middle School/Upper School Coordinator

We are looking for candidates who

?Have experience with event planning and project management.

?Are able to oversee and project manage Overlake’s many events including but not limited to; Back-to-School Nights, Parent-Teacher Conferences, Winter Banquet, 8th Grade Promotion and Senior Graduation.

?Feel comfortable delegating tasks, managing volunteers and collaborating with other support staff.

?Have flexibility for extended hours when needed for events.

?Can effectively direct multiple task streams while maintaining high-level attention to detail and organization,

?The school schedule will vary day to day and will require varying forms of support from the MS/US Coordinator.

?In addition to event management ongoing tasks will take place requiring multitasking and flexibility.

?Support from this role is needed by the Heads of School, Asst. Head of the US School, Faculty, Staff, Parents and Students.

?Can effectively oversee sub personnel and the sub process.

?Will hold sub candidate interviews and complete follow-up process for onboarding new hires.

?Maintain confidentiality regarding Faculty sub needs and will assist in finding sub coverage both in-house and externally as needed.

?Feels comfortable subbing for classes when needed.

?Will process payroll for external subs

Job Responsibilities

This opening is a full time position, with the following major responsibilities:

?Serves as liaison between the Middle and Upper School Heads and all school constituents

?Oversees administrative (non-academic) functioning of the Middle and Upper Schools.

?Provides support to Division Heads and Assistant Upper School Head.

?Serves on Parliament/SEL Planning Committee, assists Assistant Upper School Head with scheduling and planning.

?Edits, formats and occasionally writes Middle School and Upper School Head’s correspondence to community regarding events.

?Coordinates and produces yearly school events and manages accurate event input to online school calendar system (Veracross)

?Event management and oversight includes; New Faculty/Staff Orientation, Opening & Closing Day Assemblies, Picture Day, Senior Parent Mix & Mingle, Back-to-School Nights, Parent/Teacher Conferences, Winter Banquet, Fall and Spring Exams, Back-to-the-Classroom, Transition to the Upper School, US Curriculum Night, MS Information Night, ECampus text book ordering, and any other school event, assembly or activity.

?Performs as Project Manager for 8th Grade Promotion and Senior Commencement Ceremony & Reception.

?Enters, updates and oversees data entry to Veracross including making resource reservations, posting school wide events, booking rooms/events for Admin, Staff and Faculty.

?Coordinates with PFSA and Parent Volunteers for any student facing event.

?Manages Faculty Attendance and Substitute Needs

?Interviews, hires and onboards external subs as part of The Overlake School substitute pool. Responsible for the administration of substitutes from job placement to payroll invoicing.

?Coordinates and reports out faculty attendance consistent with the school attendance policy.

?Manages all in-house and external substitute needs to ensure quality and integrity of the program.

?Tracks faculty in-house subbing and reports payroll monthly to Controller.

?Covers classes as a sub when needed.

?Aides in coordination of Standardized Testing and Final Exams

?AP Testing, PSAT, Practice ACT

?Winter and Spring Academic Exams

?Works with Technology Team

  • Creates and uploads Alternate Block Schedules
  • Produce Teams Live events as needed
  • Create virtual event links as needed

?Advanced Placement (AP) Coordinator

  • Registers all AP courses with the College Board
  • Oversees faculty course audits
  • Oversees student enrollment for testing
  • Manages testing calendar
  • Coordinates with Counselors to ensure all students are given special accommodations as needed
  • Finds Proctors and assigns rooms for in person testing

?Support day to day and ongoing needs of the school including and not limited to:

?Managing high value lost and found and student epi-pens and other medical devices.

?Creating monthly study hall calendars, weekly announcements and updating lunchroom cleanup for the Middle School.

?Manages Pre-School Year Projects to Support Successful Start of Next Academic Year

?Produces Faculty Planbooks.

?Creates orientation binders for new hires and disseminate to returning faculty/staff.

?Compiles student lists for fire drills and other emergency scenarios.

?Updating all school phone extension and email distribution lists and classroom door signs.

?Manages Campus Online Bookstore (eCampus)
