ASSOCIATE DIRECTOR OF ADMISSIONS AND ADVANCEMENT

The Associate Director of Admissions and Advancement reports to the Director of Institutional Advancement and manages the operations of the Admission program to achieve the school’s enrollment goals and support the school’s mission. The ADAA has the following responsibilities:

Participate in all facets and phases of the application and enrollment process at LWGMS:

  • Develops and implements an Admission process and calendar, both internally and externally
  • Uses Ravenna to facilitate the application process
  • Manages the entire inquiry to enrollment process. As a member of the admission committee, read applications and make admission decision recommendations
  • Oversees and manages the program of Open Houses, tours, family interviews, testing days, New Family Social, and all other Admissions activities/events
  • Coordinates the staffing of employees, students, and volunteers for Admissions activities
  • Coordinates Financial Aid Awards and enrollment packages with the Business Office

In collaboration with the entire team, develops, executes, and evaluates the vision for recruitment of qualified students for the school:

  • Thoughtfully and intentionally develops a process and vision that is responsive to the cultures and needs of diverse applicants and enrolled students
  • Develops an annual admissions plan that fosters a culture of collaboration and data-informed decision-making
  • Cultivates relationships within the community at large, especially targeted to PSIS, feeder schools, community organizations, foundations, churches, etc.
  • Identifies trends in independent school demographics and collaborate with internal departments and external consultants to create long and short term recruitment strategies
  • Develops Admissions and Enrollment criteria and goals for approval by the Director of Institutional Advancement and Head of School
  • Develops written materials and other media that support Admission in conjunction with the Director of Communications
  • Assists in the preparation of the Admissions budget and operates the department with budgetary guidelines, including the budgeting and expenditures for marketing material and advertisements
  • Maintains Admissions and enrollment statistics and provides status and achievement reports to administrators and/or board members on a periodic basis
  • Oversees next school transition planning for graduating eighth graders, including communicating with families, planning High School Information Night, coordinating applications and recommendations, preparing students for interviews, and tracking admission and enrollment information for alum into high schools, colleges, and universities.

Exercises a working knowledge of the strategic relationship between the roles of Admission, Communications, and Development at LWGMS as part of the Advancement Team:

  • Assists in the planning, execution, and volunteer management of all Advancement events, including Alum Brunch, Annual Luncheon, Gala, and key community building school events
  • Works alongside Business Office to supply Director of Communications with year end numbers for the Annual Report
  • Assists the Director of Institutional Advancement and Director of Communications with all donor mailings and communications
  • Assists Director of Institutional Advancement with individual giving campaign logistics, including the Annual Giving Campaign, GiveBig, and Gala

Additional Responsibilities:

  • Cover front office when needed
  • Participate in life of the school by attending events
  • Other duties as assigned by Director of Institutional Advancement and Head of School

Minimum Requirements:

  • Bachelor's degree
  • Two years of admission experience as associate or assistant director
  • Knowledge of and/or past experience in a school setting, independent school familiar
  • Marketing experience and social media use in workplace setting highly desired
  • Proficient technology use, especially with LWGMS platforms: Google Suite, Ravenna Admit/Enroll, Little Green Light database, Squarespace
  • Ability to learn new technology
  • Ability to work evenings/weekends as needed in the execution of admission events and responsibilities
